CampsBC exists as a ministry partner with the BCMB Conference of Churches to facilitate the mission of the church for evangelism, discipleship, and leadership development. “As a Camping Society we believe that summer camp is one of the tools God has given us (the church) to proclaim the good news of the Gospel, to raise up believers in the faith, and to equip and train generations of leaders for the work of ministry. Our vision as a camping society is to become a vital resource to our churches so that together we can facilitate the mission of the BCMB Conference of Churches”.

We will do this by:

1. Ensuring our individual camps adhere to the Confession of Faith and practices laid out by the BCMB Conference of Churches;
2. Providing governance structure and policies, protocols, tools and executive staff to help assist our camps in their effectiveness;
3. Striving to facilitate “on the ground” presence as a resource for camp ministry that helps camps fulfill their ministry potential, leading people into a relationship with God;
4. Striving to establish healthy relationships between our camps and churches that facilitate discipleship and the training up of leaders for the future leadership of
our camps, churches and conference;
5. Fostering a good working relationship with the Directors of our camps, and
6. Establishing a growing donor base to help raise funds and bursaries to help send kids to camp and to make leadership programs more affordable to teens.

Executive Director Job Description Position Summary

The Executive Director will provide oversight to the operations of the Camp Society in all governance and financial matters and will be the main contact person for all camp related matters. The Executive Director will serve as a resource to the camps, championing and advocating for the camp directors. The Executive Director will report to the Camp Society executive board. Local Leadership Team chairs and camp directors shall report to the executive director for matters pertaining to governance and policy compliance.

Working Relationship
The Executive Director reports to the Camps Society executive board and engages with the camps via the LLT (Local Leadership Team) and the Camp Directors.
Specific Responsibilities Governance:
- Act as an ex-officio member of the executive board;
- Prepare the agenda for the executive board in consultation with the board chair; - Assist the executive board as requested, including,
o Keep them informed of operational activities;
o Advise on ongoing CRA compliance concerns;
o Prepare draft financial policies;
o Prepare draft reports to the executive board;
o Advise and assist camps in the updating and implementation of BCMB Camp
Society Operating Guidelines;
o Plan and execute administrative details related to the annual AGM;
o Complete and keep the Camp Society updated on the BC Registry of Societies, including Directors’ listing and any updates to the Constitution and Bylaws;
- Oversee governance operations for all camps with assistance of BCMB resource director;
o Advise, inform, and assist camps regarding recent and ongoing Canada Labor Codes requirements and BC employment standards including WorkSafe BC practice and policies; and technical safety BC etc.
o Research best practices for camps’ HR, legal, financial management;
o Assist and help LLTs screen applicants for key hiring, such as camp directors; o Visit camps regularly and attend LLT camp meetings as needed to keep
updates on operational and governance issues.

Finances:
- Oversee the annual budget process (development, assessment, monitoring and forecasting) for BCMB Bible Camps Society;
- Review all Camp Society invoices prior to payment and act as signing authority for all Camp Society cheques;
- In collaboration with the Treasurer, prepare financial reports for the executive board;
- Develop policies that relate to the stewardship of all Camp Society finances and assets;
- Coordinate with the treasurer in preparation of year-end financial reports;
- Oversee all aspects of external audits;
- Complete the T3010 charity annual return for submission to CRA;
- Prepare long-range financial plans to facilitate Camp Society goals; - Review and monitor finances of each BCMB Camp;
- Develop and implement a strategic plan for fundraising alongside Camps Society Board.

Risk Management
- Take the lead in all matters that have legal implications for the Camp Society;
- Develop, implement and communicate policies which limit the risk to the Camp Society and its camps;
- Assist camps with the administration of any commercial insurance claims and act as the Camp Society point of contact with the insurance adjuster for annual renewals;
- Provide oversight and liaison with the BCMB Conference in all capital expansions and additions/renovations.

Relational
- Facilitate relationships with BCMB churches and its partnering ministries to promote and report on camping ministry and encourage engagement with individual camps;
- Visit each camp during its summer camping season as well as off season and provide practical partnership;
- Engage regularly with each camp director and LLT chair;
- Develop a strategic partnership with churches and donors;
- Assist camp directors in promotional expectations and conference involvement;
- Attend annual BC Camping Conference alongside camp directors to promote unity, vision and collaboration;
- Strive for clear communication, cohesion, unity and relationships amongst camp directors.

Qualifications
- Have a passion to facilitate ministry for camps as a team player; - Ability to communicate clearly and regularly;
- Strong dynamic leadership, personable, and collaboration skills; - Extensive experience in camping ministry/pastoral experience;
- Demonstrate management ability for multi-staff organizations;
- In agreement with the BC Conference of Mennonite Brethren Confession of Faith; - Be an active member of a B.C. Conference of Mennonite Brethren church;
- Mature Christian believer qualified for godly leadership.
