Position: Resort Operations Administrative Assistant
Reports to: Director of Resort Operations
Employment Status: Full Time – salary plus benefits
Location: At the Resort in Rosseau, Ontario

Job Purpose:
With the key outcome of providing a seamless experience and excellent customer service to our guests, the primary purpose of this position is to assist the Director of Resort Operations in organization, administration, and project management pertaining to all resort operations activities.

Key Job Functions:

Support Director of Resort Operations

  • Schedule and attend meetings, take minutes, manage to do lists, send reminders
  • Photo copy, write letters, respond to emails on behalf of the Director
  • Maintain confidential information for the business, team and leadership and ensure information is handled
    appropriately.
  • Delegate and follow up on action items that fall within realm of responsibility.
  • Research and conduct data to prepare documents for review and presentation by Director of Resort Operation, the Senior Leadership Team, the Operations team and others.
  • Manage credit card expenses, receipts and reporting
  • Represent the Director of Resort Operations to internal staff and external customers and contractors in a
    professional manner

Resort Operations Administration

  • Manage interdepartmental communications
  • Maintain an organized filing system
  • Assist with purchasing and tracking inventory
  • Maintain Contractor compliance
  • Manage vacation calendars, time off and schedules
  • Track all operations staff training requirements and safety sign offs
  • Track vehicle maintenance and gas log
  • Process deliveries - including waybills and packing slips.
  • Coordinate with Accounting Clerk to ensure all operations invoices or statements are processed in a timely manner
  • Maintain inventory of office supplies.
  • Ensure the operations office is clean and organized.

Project Management

  • Manage project office documentation and process.
  • Facilitate weekly project status updates to the Director of Resort Operations.
  • Lead projects on behalf of the Director of Resort Operations. Examples include annual Resort painting
    refresh, VIP accommodation interior design upgrades, and coordinating spring landscaping, tracking all
    staff training require

Other

  • Participate in meetings as required.
  • Participate in ministry initiatives such as small groups, one to ones, Cadence where appropriate
  • Participate in corporate events including Town Hall and Annual Retreat.

Experience Required:

  • 1 to 3 years of book keeping experience.
  • Experience in Excel, Word and Google Business Suite.
  • Project management software experience an asset

Essential Functions:

  • Ability to sit, talk, hear, see and use hands and fingers to operate a computer and telephone.
  • Ability to sit at a computer terminal for an extended period of time.
  • Ability to communicate both written and verbal with guests and staff
